Department/Division Purpose (brief description of main function):

The Division of Business & Advanced Technology provides academic leadership across all departments to include classroom, hybrid, and remote instruction to ensures academic quality, consistency, support, and student success.

Job Summary Statement (brief summary of overall responsibility of position):

The AEA collaborates with the Division Dean and Department Chairs to meet the needs of each department and/or program across all campuses and all teaching sites to ensure student success. The AEA is an important part of the academic team with diverse responsibilities that may include program innovation and development, instructional support, curriculum mapping and scheduling, enrollment monitoring, creative problem solving, instructor and faculty support, holistic student advising and course feedback and observation.  This position serves as a liaison for the division across campus and requires a collaborative spirit and strong communication skills.

This position has been identified by Pueblo Community College as a Campus Security Authority in accordance with the Department of Education guidelines.  As a Campus Security Authority, the incumbent in this position is required to report crimes that they become aware of to the Department of Public Safety at Pueblo Community College and must attend annual training related to these responsibilities.

In accordance with Colorado Revised Statutes 24-50-135, this position has been exempted from the State Personnel System.

 

Job Duties

Essential Functions:
Operational Procedures

  • Supports Dean and Department Chairs with various department operational procedures to include:
    • Student outreach and advising
    • Enrollment management tasks
    • Assist with book orders
    • Assist students with graduation planning sheets
  • Makes purchases according to specific grant and account guidelines
  • Assists with course schedules when needed
  • Ensures updates of syllabi and other documents for compliance purposes
  • Uses Navigate software and provides training to division staff

Hiring & Orientation

  • Collaborates with Department Chairs in the hiring process of new faculty and instructors
  • Coordinates orientation of new faculty and instructors to include:
    • Assimilating with both college systems, campus expectations, and grading
    • Organizes and matches mentors
    • Provide direct guidance regarding campus professional development/training

Instructional Support

  • Serves as a liaison between Department Chairs and academic advising on all campuses/sites to ensure updates and changes have been communicated and current information is being delivered
  • Provides holistic academic advising to students
  • Ensures branch campus/site instructors have access to up-to-date syllabi, text books, instructional supplements, and other department specific resources
  • Coordinates efforts with department chairs to facilitate Assessment of Student Learning plans and reports
  • Conduct classroom observations for part-time instructional staff as needed

Program Support

  • Plans and implements marketing and recruitment for all departments and programs within the division, to include meetings/open houses, website review and relevance, student outreach and communication and partnership with marketing and recruitment departments on campaigns
  • Assist chairs with curriculum and program development and processes
  • Partner with departments on special projects and grants as needed
  • Attend College, Division, and Advisory Committee Meetings to assess program compliance with program assurances
  • Analyze data regarding five year trends, identify barriers to success, set goals, and develop strategies and interventions.
  • Assist Department Chairs with Program Review/Renewals and manage program renewal in the CCCS CTE Gateway system
  • Serve as the Lead Division Academic Advisor when chairs and faculty are not on campus.

  • Assesses individual and department work processes and recommends improvements.
  • Complies with System and College protocols and departmental procedures.
  • Obtains and maintains proficiency with required systems and equipment.
  • Maintains confidentiality of student and employee information as required.
  • Completes all required compliance training within the established timeline.
  • Serves on committees and other groups as assigned.
